Sales Support Specialist

Job Description

The Sales Support Specialist provides administrative support to both account management and sales for Regional and National retail accounts. This role is responsible for the reporting, analysis, and maintenance of customer account information, quotes, shipment tracking and assures quality product delivery. The ideal candidate will have 2-3 years’ experience in Customer Service supporting a sales organization.

Duties & Responsibilities:

  • Assists Account Managers in all facets of the customer account
  • Reporting in ERP system and Excel
  • Prepares sales presentations for internal account managers as well as customers
  • Point person managing the details of the orders once received by the retailer
  • Monitors shipments and communicates variances
  • Regularly monitors customer orders and updates customer portals with product details
  • Ensures purchase orders are complete and accurate
  • Resolves billing questions and issues
  • Responds professionally in written or verbal form
  • Assists team members in joint tasks

Qualifications:

  • Associate Degree or some advance education preferred post HS
  • Previous experience in an import environment is preferred, not required
  • Proficient in Excel and must be comfortable learning new technology
  • Must be able to multi task and prioritize workload and keep up with a large number of accounts whose priorities are always changing
  • Must have strong attention to detail and be very organized
  • Must have ability to work independently and also in a team environment
  • Makes improvements to processes in order to be more efficient in the role
  • Creatively finds solutions to obstacles

Demands of the position:

  • Although the role is in a typical office environment, must have the ability to move objects weighing 20 lbs or heavier at times to look at product samples.
  • When retrieving samples or viewing product in the Distribution Center, will require considerable use of hands, arms and legs to walk, lift, stoop, push and move product.
  • Adaptable to a fluctuating workday and workload demands.

Customer Service Representative

Position Summary:

As a Customer Service Representative you will have the direct responsibility for the following:

  • Responsible for answering questions from our customers, retailers, and associates via in-bound and out-bound calls and addressing product questions over the phone.
  • Directly responsible for data entry and data entry audits of orders for product lines ensuring that the right products and quantities are in the system.
  • Addresses product damage, product overage, product shortage and resolves situations related to customer needs or customer claims in a friendly manner.
  • Responsible for the ordering of product samples as needed for customer requests and ensure the samples are produced and delivered in a timely manner.
  • Collaborates with our in-house staff to ensure that customer concerns are addressed and questions are answered promptly.

Qualifications:  (What you need to bring to the position)

  • Excellent customer service skills and a professional presence in both verbal and non-verbal communication.
  • Proficiency with MS Office products (intermediate level or above in Excel).
  • Previous experience working in an ERP system (Apprise Software a plus).
  • Must be proficient and accurate in both 10-key and alphanumeric entering of customer orders.
  • Basic math aptitude is a must in this role.
  • Proven ability to interact with customers over the phone or in person.
  • Ability to apply creative problem-solving skills to resolve issues.
  • Ability to do sales in the form of upselling items to external customers.

Requirements:

  • High School Diploma and additional college coursework/degree is preferred.
  • 2-4 years of experience in a challenging customer service role where multi-tasking and attention to detail was required.

Inside Sales Rep

The role of the Inside Sales Rep is to sell new and existing accounts through email and phone communication. The position is also responsible for performing basic marketing programs to develop new opportunities. This position requires a disciplined self-starter with strong organizational skills. Ideal candidates will have experience with Gift, Grocery, Garden, Home Décor & General Retailers.

Responsibilities and Duties

  • Prioritize existing leads and implement a targeted contact plan between email and phone calls to the targeted leads to grow sales.
  • Recommend products based on customer needs.
  • Create and maintain computer files for easy access and reference by the company 
  • Develop and execute a “cold-calling” strategy to target potential customers
  • Ensure quality service and high customer satisfaction through availability and consistency
  • Assist in preparation as needed for trade shows
  • Provide administrative assistance and support
  • Other duties as assigned

Qualifications and Skills

  • 2-5 years Inside sales or customer service experience

Accounts Receivable Specialist

Position Summary: We are seeking an Accounts Receivable Specialist to post customer payments by recording cash, checks, wire, and credit card transactions. This position must maintain positive business relationships while handling; collection issues, resolving discrepancies, and short payments. This is a high volume fast past environment. 

What an average day might look like: 

  • Manages and maintains customer accounts
  • Makes a combination of customer service and/or collection type calls to customers
  • Investigates short payment or claims issues
  • Takes the appropriate escalation action when needed
  • Partners with the appropriate personnel in Sales, Sales Support, Distribution, and Accounting to resolve customer issues
  • Ensures completion of account reconciliation
  • Validates billing accuracy
  • Prepares reports or analysis on a monthly basis 
  • Provide above and beyond customer service
  • Enters payment information into the system
  • Prepares bank deposit 
  • Multi-tasking using multi screens
  • Other duties as assigned

What you need to bring to the table: 

  • Accounts Receivable experience with business to business customers
  • Solid experience with Microsoft Office (Outlook, Word and intermediate level Excel)
