POSITION SUMMARY:

Role Overview: 

The Manager of Direct Import & Quote Processing will report directly to the Vice President of Global Procurement, Compliance and Quality Control.  The Manager of Direct Import & Quote Processing is a working manager who manages the Direct Import (DI) Team that provides support to direct import and key customer accounts.  The DI Team works with the Sales and Purchasing teams to provide customer price quotes as well as placing and tracking all aspects of the shipments being imported directly to the customer or FOB origin customer purchase orders.  The team has direct communication and coordination with international manufactures regarding product pricing, all aspects of the Purchase Orders (PO) and shipment confirmations. 

 Responsibilities and Duties: 

  • Develop new and modify existing processes and procedures as needed to increase proficiency and accuracy for the DI Team to maximize output without sacrificing accuracy.
  • Assign accounts, including self-assignment to maximize team efficiency and to balance the work to be performed. 
  • Provide support to team members to ensure they have the training, knowledge and tools to successfully execute all aspects of their assigned duties and to proactively solve issues before they become problems.
  • Request, review, negotiate and organize product quotations from overseas vendors and calculate customer price quotes upon request for large national retailer chains.
  • Organization of time sensitive documents, confirmations of orders.
  • Review, follow up and approve purchase order confirmations from vendors.
  • Enter Sales Orders and generate Purchase Orders to place with factories on all direct import shipments for assigned accounts.
  • Set-up all customer specific (custom) products in the system for direct import purchase orders for assigned accounts.
  • Track all purchase orders from factory through logistics and to destinations while keeping reports and changes current.
  • Maintain ongoing communication with internal departments and external manufactures on all aspects of purchase orders for assigned accounts including the development of production time lines, any potential for delays and estimated product ready dates and arrivals.
  • Manage vendor chargebacks and documentation as they pertain to customer claims on product that shipped through a direct import purchase order.
  • Assist in proofing catalog product data each season.
  • Other Duties as assigned. 

Qualifications: 

  • Team management experience is required.
  • Experience with purchasing and organization of information is required.
  • The ideal candidate must possess a strong attention to detail, mathematical ability, and a high level of functionality regarding spreadsheets.
  • Strong computer skills including Word, Excel and Outlook required.
  • Must be able to prioritize, multi-task and adhere to strict deadlines.
  • Willingness to work extended hours as needed during peak times. 
  • Previous retail/wholesale buying and purchasing experience preferred.
  • College Degree Preferred.
